Booking and Contract

A booking becomes confirmed when:

  1. Majestic Roadways has accepted the booking;

  2. the required deposit or full payment has been received; and

  3. written confirmation has been issued.

The booking confirmation will set out the agreed itinerary, date, collection arrangements, number of passengers, vehicle requirements, price and any additional services.

The person making the booking confirms that they have authority to make the booking on behalf of all members of their group.

Prices and Payment

All prices will be quoted in pounds sterling (£) unless otherwise stated.

The quotation will specify:

  • total price;

  • deposit required;

  • payment deadline;

  • balance due date;

  • any additional charges;

  • what is and is not included.

Unless otherwise agreed in writing, the booking is not guaranteed until the required payment has been received.

Additional costs may apply where requested changes result in additional mileage, waiting time, parking, tolls, admission fees, accommodation, driver hours or other third-party costs.

Any additional charges will be communicated to the customer where reasonably practicable before they are incurred.

Changes to Your Booking

Customers should contact Majestic Roadways as soon as possible if they wish to change:

  • the date;

  • collection or drop-off location;

  • passenger numbers;

  • itinerary;

  • vehicle requirements; or

  • additional experiences.

We will try to accommodate reasonable changes, subject to availability.

Changes may result in a revised price.

Where a change involves third-party suppliers, such as attractions, restaurants, hotels or experience providers, their terms may also apply.

Cancellation by the Customer

Cancellation charges will depend on the booking and will be clearly stated in the booking confirmation.

For example, Majestic Roadways may use the following cancellation structure:

Cancellation notice

30+ days before departure - Deposit retained

15–29 days 50% of booking price

7–14 days 75% of booking price

Less than 7 days 100% of booking price

No-show 100% of booking price

Cancellation or Changes by Majestic Roadways

We reserve the right to make reasonable changes to an itinerary where necessary because of:

  • road closures;

  • severe weather;

  • traffic conditions;

  • safety concerns;

  • vehicle availability;

  • operational requirements;

  • attraction closures;

  • events outside our reasonable control; or

  • other circumstances affecting the safe operation of the tour.

Where possible, we will provide a suitable alternative.

Where a significant change is required, we will contact the customer as soon as reasonably practicable.

Where package-travel legislation applies, additional statutory rights may apply, including requirements concerning alternative arrangements, price reductions and termination in specified circumstances.

Itineraries

Published itineraries are intended as a guide and may be affected by traffic, weather, opening hours, special events and other circumstances.

Specific timings are not guaranteed unless expressly agreed in writing.

Customers are responsible for returning to the designated vehicle at the agreed time.

If a passenger is late returning to the vehicle, the driver or tour guide may have to depart to maintain the itinerary and comply with applicable driving and operational requirements.

Additional waiting time may be chargeable where applicable.

Passenger Responsibilities

Passengers must:

  • follow reasonable instructions from the driver or tour guide;

  • remain seated when required;

  • use seat belts where provided;

  • behave respectfully towards staff and other passengers;

  • avoid damaging the vehicle;

  • comply with applicable laws;

  • avoid behaviour that could endanger themselves or others.

Majestic Roadways may refuse carriage or terminate a journey where a passenger's behaviour presents a genuine safety risk, causes serious disruption or creates a risk of damage.

Any decision to refuse or terminate carriage will be made having regard to applicable law and the circumstances.

Children and Young Passengers

Children must be accompanied by a responsible adult unless specifically agreed otherwise.

Parents or guardians are responsible for providing any information necessary concerning a child's needs.

Where child seats or other specialist equipment are required, this should be requested when making the booking.

Accessibility and Special Requirements

We aim to make our tours accessible wherever reasonably possible.

Customers should tell us about accessibility requirements at the time of booking, including:

  • wheelchair requirements;

  • mobility requirements;

  • assistance requirements;

  • visual or hearing requirements;

  • medical equipment;

  • dietary requirements for included experiences.

We will discuss available arrangements and any limitations before confirming the booking.

Luggage and Personal Belongings

Passengers remain responsible for their personal belongings.

Majestic Roadways recommends that valuable items are not left unattended.

Where luggage storage is provided, customers should ensure that luggage is appropriately secured.

We will take reasonable care of belongings that are handed directly to our staff, subject to applicable law.

Alcohol

Alcohol may only be consumed on a vehicle where this is expressly permitted by Majestic Roadways and is lawful.

Passengers must not:

  • become intoxicated to the point of creating a safety risk;

  • behave aggressively;

  • damage the vehicle;

  • endanger other passengers;

  • consume alcohol where prohibited by the vehicle operator, venue or law.

Majestic Roadways reserves the right to stop alcohol consumption where necessary for safety or compliance.

Smoking and Vaping

Smoking and vaping are prohibited inside Majestic Roadways vehicles unless expressly permitted by law and by the vehicle operator.

Any cleaning, repair or specialist treatment required because of smoking, vaping or related damage may be charged to the customer where legally recoverable.

Vehicle Allocation

The vehicle shown in promotional material may not necessarily be the vehicle supplied for a particular booking.

Majestic Roadways may provide a vehicle of equivalent specification where operational circumstances require.

Where a specific vehicle has been contractually agreed, we will make reasonable efforts to provide that vehicle.

Drivers and Tour Guides

Our drivers and guides are responsible for passenger safety and the operation of the journey.

Customers must follow reasonable instructions from the driver or guide.

The driver has authority over matters relating to the safe operation of the vehicle.

Majestic Roadways cannot guarantee journey times because of circumstances including:

  • traffic congestion;

We will take reasonable steps to minimise disruption but cannot accept responsibility for delays caused by circumstances outside our reasonable control, subject to customers' statutory rights.

Attractions and Third-Party Experiences

Some tours may include or offer optional services provided by third parties, including:

  • castles;

  • museums;

  • restaurants;

  • afternoon teas;

  • shopping destinations;

  • distilleries;

  • galleries;

  • hotels;

  • entertainment venues;

  • other tourist attractions.

Third-party terms may apply.

Where Majestic Roadways is acting only as an intermediary or transport provider, the third party may remain responsible for delivering its own service.

Where Majestic Roadways acts as an organiser of a package, different statutory responsibilities may apply under the Package Travel and Linked Travel Arrangements Regulations 2018.

Package Travel

Where two or more qualifying travel services are combined for the same trip, the arrangement may constitute a package under UK package-travel legislation.

The regulations can apply to combinations involving transport, accommodation, vehicle hire and certain other tourist services.

Where a booking falls within the regulations, Majestic Roadways will provide the information, contractual protections and insolvency protection required by applicable law.
